Receptionist / Customer Service Administration Assistant with experience of front-line customer service, managing visitors and taking and directing calls is required to join our team at Guide Dogs.

 

SALARY: £18,000 - £20,250 per annum

JOB OVERVIEW

We have a fantastic new job opportunity for a Receptionist / Customer Service Administration Assistant with experience of front-line customer service, managing visitors and taking and directing calls.

Working as the Receptionist / Customer Service Administration Assistant you will focus on exceptional customer service to provide efficient and effective Reception cover and to undertake associated administrative support at Guide Dogs sites.

DUTIES

As the Receptionist / Customer Service Administration Assistant your duties will include:

  • Reception Services: Provide an efficient, friendly and knowledgeable presence at reception. Ensure calls, deliveries and visitors are dealt with and that messages are passed on efficiently
  • Reception Cover: To ensure that adequate cover is in place by co-ordinating & actively supporting a volunteer programme in liaison with the Facilities Controller and Volunteering staff
  • Visitor Records: Ensure security procedures are followed, issuing visitor badges and signing visitors out
  • Data Management: Maintain computer based records  and ensure data is input in line with agreed timescales
  • Diary Bookings: Operate diary bookings for meeting rooms and ensure any special requests/needs are anticipated and catered for
  • Volunteer Support: In liaison with the Facilities Controller, induct, train and support volunteers in the use of telephone, data and reception systems,
  • Mail: Assist and support agreed procedures for both incoming and outgoing mail. Arrange and log courier activity for collection and delivery of parcels
  • Stock/Equipment Purchase: Support the purchase of equipment and stock e.g. office supplies, clothing, undertaking Expenditure Requests when required and liaising with the Facilities Controller regarding repairs

CANDIDATE REQUIREMENTS

As the Receptionist / Customer Service Administration Assistant you will have the following skills and experience.

Essential

  • Worked in a front-line customer service environment with experience of managing visitors and representing the organisation with a positive attitude and professional appearance
  • Able to manage the expectations of the customer and recognise when to escalate issues to a higher level
  • Taking and directing calls
  • Completing administrative tasks like filing and delivering and accepting mail
  • Good level of ability and familiarisation with Microsoft office applications such as Outlook, Word and Excel
  • Knowledge of customer service principles and practices
  • Excellent verbal and written communication and listening skills
  • Excellent approach to customer services with a flexible approach, professional, knowledgeable and helpful manner

 

Desirable

  • Previous experience of working with and supporting volunteers
  • Understands the principle of service level agreements and the Key Performance Indicators in relation to Reception
