Property Management & Lettings Assistant / Coordinator who has excellent organisational, administrative and customer service skills with a polite and professional telephone manner and previous property industry experience is required for a home-based position with a property investment company.

This position will suit someone who has experience of working in the property market as either as an estate agent, lettings negotiator / lettings manager, property manager, block manager or within other similar property or estate agency based roles.

 

SALARY: £18,750 pro rata (£15,000 per annum basic for 30 hours per week) + Bonus

LOCATION: This is a Home-Based position covering areas surrounding the Stoke-on-Trent, Staffordshire area

JOB TYPE: Part-Time, Permanent

WORKING HOURS: 30 hours per week – flexible/negotiable on days worked, which will be discussed at interview. This role will include some weekend work.

 

KEY REQUIREMENTS:  Candidates will need a full Driving Licence and access to a vehicle

As the Property Management & Lettings Assistant / Coordinator you will deal with all aspects of property management which will include; lettings, arranging maintenance, tenant referencing, property viewings, advertising properties, key handling and dealing with tenant enquiries.

Working as the Property Management & Lettings Assistant / Coordinator you will be a driven team player with experience of working in the property market either as an estate agent, lettings negotiator / lettings manager, property manager, block manager or within other similar property or estate agency based roles.

DUTIES

Your duties and responsibilities as the Property Management & Lettings Assistant / Coordinator will include:

Lettings:

  • Place and manage property adverts
  • Review and follow up on viewing request (responding to telephone, e-mail and other digital leads)
  • Managing deposits & referencing
  • Managing tenancy agreements and related documents
  • Property viewings & potential tenant follow up
  • Weekend viewings as required
  • Carry out check in/out inventory
  • Key handling
  • General support of colleagues in and out of the office when dealing with various properties
  • Database maintenance
  • Attending local community events and training courses as required

 

Maintenance:

  • Managing relationship with residential and commercial tenants & estate agents
  • Respond to tenants maintenance requests
  • Conduct weekly communal area checks and regular property inspections
  • Collect electric meter readings & issue invoices
  • Record any maintenance issues in team task manager
  • Follow up on scheduled maintenance tasks
  • Purchase replacement stock
  • Rent and insurance collection from residential and commercial tenants
  • Prepare property for new tenants after move out
  • Parking space management
  • Post management

 

Debt Recovery:

  • Chase rent arrears and serve notices
  • Deal with evictions
  • Debt recovery

 

Short Term Stay Management:

  • Manage listings on appropriate channel manager and channels
  • Respond to guest enquiries
  • Produce weekly schedule for cleaning team
  • Address any IT issues with relevant sites
  • Manage inventory

 

CANDIDATE REQUIREMENTS

  • Have a proven track record of working in the property market either as an estate agent, lettings negotiator / lettings manager, property manager, block manager or within other similar property or estate agency based roles
  • Have an excellent telephone manner
  • Be target driven and not afraid to go the extra mile
  • Local area knowledge is preferred
  • Have a Full Driver’s Licence and access to a car
  • Offer excellent customer relations
  • Be well presented, bubbly, proactive, forward thinking, highly self-motivated and have a keen desire to learn
  • A hardworking and positive attitude is essential to this role
