JOB OVERVIEW

We have a fantastic new job opportunity for a Housing Administrator / Sheltered Housing Administration Assistant with previous experience in housing or a similar role supporting vulnerable individuals.

The organisation is seeking an enthusiastic, effective and committed Housing Administrator / Sheltered Housing Administration Assistant who is passionate about the delivery of excellent public sector housing services, to join their dedicated professional Housing team, helping to deliver a first-class service to their Sheltered Housing residents in tenancy management, developing strong communities.

Working as the Housing Administrator / Sheltered Housing Administration Assistant you will support the Sheltered Housing Officer to enable tenants to maintain their tenancies through advice, support and enforcement.

The Housing Administrator / Sheltered Housing Administration Assistant will efficiently deliver administration and support tasks for the team by effectively using IT systems and the housing database.

 

DUTIES

Your duties and responsibilities as the Housing Administrator / Sheltered Housing Administration Assistant will include:

  • Deal with telephone enquiries and routine correspondence
  • Assist in assessing the suitability of nominations for new tenancies, contacting other agencies where appropriate
  • Prepare all documents relating to property viewings and tenancy sign ups, including arranging and diarising new tenant visit appointments
  • Ensure effective communication, providing personal details for new residents and advising of any changes to a residents’ personal details
  • Manage the annual checking of Personal Details forms by arranging personal appointments
  • Ensure any property concerns or resident concerns that are identified are referred to the in-house tenancy sustainment triage or Safeguarding
  • Assist with the invoicing process; to include raising purchase orders on Oracle Fusion and completing Invoice Payment Forms
  • Be the credit card holder for the team and administer the process
  • Attend and take minutes for meetings
  • Manage the teams web page ensuring accurate information
  • Liaise with and signpost to other agencies to ensure residents have access to services necessary to maintain their independence
  • Provide information on community facilities and resources available to residents and activities to promote inclusion into the wider community and help residents overcome social isolation
  • Assist in managing changes to tenancies effectively and lawfully, throughout the duration of a tenancy
  • Liaise to arrange and diarise Introductory Tenancy Visits to ensure that there is a smooth transition to a secure tenancy
  • Accurately maintain files and IT based recording systems
  • Be an effective team player and occasionally assist in covering other members of the team

 

IDEAL CANDIDATE REQUIREMENTS

  • Administrative experience in working within a customer focussed environment
  • Experience in housing management or a similar role
  • Experience of partnership working
  • Good standard of general education, including English and Maths
  • Excellent written and verbal communication skills
  • Good team player with the ability to work supportively and collaboratively
  • Excellent interpersonal skills
  • Ability to learn quickly and work flexibly in a changing environment
  • Well organised with the ability to work with a diverse and pressurised workload, to target and without supervision
  • Computer literate (MS Word, Excel, Outlook, and Internet)
  • Strong observational skills and attention to detail
  • An interest in or understanding of social housing and residents’ rights and responsibilities
  • An interest in or understanding of housing law, housing support and sheltered housing management
  • Positive attitude to equality and diversity
  • Able to visit residents on the patch (and the wider locality on occasion) in their own homes at times to suit the client, which may involve climbing stairs
  • Access to a vehicle for work (travel between housing schemes required)
