Deputy Events Manager & Coordinator who has excellent organisational, time-management, multi-tasking and administrative skills is required for a well-established School based in Sherborne, Dorset, South West England.

 

SALARY: £21,000 - £24,000 per annum + 5 Weeks Holiday per Year

LOCATION: Sherborne, Dorset, South West England

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 37.5 Hours per Week

JOB OVERVIEW

We have a fantastic new job opportunity for a Deputy Events Manager & Coordinator who has excellent organisational, time-management, multi-tasking and administrative skills.

Working as the Deputy Events Manager & Coordinator you will play a key role in organising major school events such as Commemoration and the Leavers’ Ball as well as supporting other school events such as socials, outreach events to prep schools and events for the schools Society and Foundation.

During the School summer holiday period, the Events Department is responsible for the cost-effective organisation and smooth delivery of a variety of events for external customers, including summer music schools, sports courses, weddings, memorial teas and christenings.

Your responsibilities as the Deputy Events Manager & Coordinator will also include chairing weekly events meetings with internal and external stakeholders, maintaining a detailed record of all events, ensuring facilities are ready and all arrangements are in place.

 

DUTIES

Your duties and responsibilities as the Deputy Events Manager & Coordinator:

 

  • Respond to and manage customer requirements from the initial enquiry through to the successful delivery of an event
  • Co-ordinate the booking of School and other external facilities and equipment for all events
  • Be available on the day of the event to meet the customer and to oversee the agreed event arrangements
  • Be a point of contact for School staff and any external contractors supporting the events
  • Prepare risk assessments for School events as appropriate
  • Ensure customers are accurately and promptly invoiced and debtors are monitored and chased up through the School’s Accounts Department
  • Forge a strong working relationship with the Catering Management Team
  • Work with the Events Manager to identify and develop new business streams to increase the revenue
  • Work with the Events Manager to identify where efficiencies can be made with regards to working practises and reducing costs to increase profitability
  • Deputise for the Events Manager (with delegated authority) for events business in their absence

 

CANDIDATE REQUIREMENTS

  • Ability to be highly flexible in undertaking varied tasks and to meet the changing demands of the role
  • Well-developed interpersonal and communication skills to accelerate the development of strong professional relationships with customers and staff
  • Ability to problem solve in times of adversity, remaining calm and focussed at the same time
  • Must have a “can-do” attitude
  • Organised administrative skills to ensure all enquiries, correspondence, contracts and records are dealt with in a professional and efficient manner in line with current GDPR legislation
  • A team player who sets high personal and team standards in customer care, for both internal and external events, but is also self-motivated and disciplined with the ability to work independently as well, when necessary
  • Computer literate with a good working knowledge of the Microsoft Office Suite
  • Strong commercial awareness
