Customer Service Assistant / Receptionist / Facilities Coordinator with excellent communication, interpersonal and time management skills and previous experience working in a front-line customer service environment is required to join our team at Guide Dogs.

 

SALARY: £17,879 - £18,931 per annum (depending on experience)

JOB OVERVIEW

We have a fantastic new job opportunity for a Customer Service Assistant / Receptionist / Facilities Coordinator with excellent communication, interpersonal and time management skills and previous experience working in a front-line customer service environment.

Working as the Customer Service Assistant / Receptionist / Facilities Coordinator you will help people with sight loss to live the life they choose by overseeing the day to day management of the office, ensuring a professional and organised working environment is consistently maintained.

Specific responsibilities of the Customer Service Assistant / Receptionist / Facilities Coordinator include the management and escorting of visitors, meeting room and general housekeeping standards, facilities management oversights and workplace health & safety/business continuity coordination.

DUTIES

As the Customer Service Assistant / Receptionist / Facilities Coordinator your duties will include:

  • Ensure visitors are welcomed professionally
  • Ensure security procedures are followed - maintain accurate visitor records and ensure agreed Health & Safety procedures are followed
  • Manage the access control system, ensure that starters and leavers are managed effectively
  • Deal with routine correspondence and enquiries
  • Provide exceptional customer care including call handling and receiving of visitors
  • Act as the central point of contact for staff and visitors
  • Manage external contractors and suppliers to ensure that the building is cleaned and maintained to the correct standard
  • Ensure that daily site inspections are completed
  • Manage booking requests for all meeting rooms
  • Check diaries for events daily
  • Ensure that spaces are cleared after use and put back as required
  • Ensure that VIP meetings are catered for appropriately
  • Ensure staff have the appropriate access control cards for the site
  • Investigate faults within the security system, reporting to the FM Helpdesk when external contractors are needed
  • Contribute to induction for site staff on Health & Safety procedures
  • Ensure all necessary plans are in place to deal with fire alarms, and co-ordinate evacuation drills in liaison with landlord
  • Ensure provision of adequate first aiders and display updated lists according to agreed procedures
  • Carry out regular site walk-throughs
  • Report any repairs to Regional Facilities Manager and be the on-site contact for contractors
  • Act as liaison with Regional Facilities Manager for any site issues

CANDIDATE REQUIREMENTS

Essential

  • GCSE grade C / 4 in Maths and English or equivalent
  • Proven experience of a front-line customer service environment
  • Computer literate with a good knowledge of Microsoft Office packages
  • Excellent communication, organisation and keyboard skills
  • Self-motivated
  • Effective time management skills
  • Customer service driven
  • Positive, team player
  • Flexible, thorough and uses initiative to solve problems
  • Good interpersonal skills
  • Eligibility to work in the UK

 

Desirable

  • NVQ Level 2 or equivalent in Business Administration
  • Up to date knowledge and understanding of Health and safety practices
  • Previous experience in a facilities or office management role
  • Proven administrative experience
  • Highly motivated towards a client/customer focussed service
