DUTIES

Your duties as a Contracts Coordinator / Contract Administrator will include:

  • Define the most appropriate and effective support solution for the EC support base
  • Identify data discrepancies, within the contracts management data set
  • Analyse areas of risk regarding data integrity and support implementation
  • Define and implement a plan to address high risk areas
  • Forecast and escalate key focus areas on the Cisco PMC, reporting deficient to the targeted financial forecast
  • Ensure smooth transition of customers into support from sales and projects
  • Maintain accurate databases on all customer support contracts
  • Ensure continuous service of contract renewals
  • Submit associated contract documentation to end users
  • Undertake the onboarding of support contracts which will result in the defining of support strategy
  • Responsible for checking the accuracy of existing contract records on Salesforce against original contract, where necessary amending data to match original deal terms
  • Work with Finance and/or Legal contacts where appropriate to resolve data queries, whilst liaising where necessary with agents and operators requesting company data ensuring company records are up to date on Salesforce
  • Maintain accurate contract information on the billing database system
  • Calculate invoicing co terminus values and increases as required
  • Engagement with customers to obtain purchase orders prior to invoicing
  • Administrate termination of contracts, ensure no impact to the PMC rebate Programme
  • Monitor support costs to ensure contracts continue to be profitable. Notify stakeholders if this is not the case
  • Check for go live' notifications from vendors and update the database as required
  • Update and maintain records of vendor support purchased for customers, and share this information, as appropriate, with relevant stakeholders
  • Work closely with all Service teams to ensure new customers transition into support effectively
  • Identify any underperforming vendors
  • Deal with support queries as and when arise from Service Desk, AMs, PMs and engineers
  • Identify any underperforming vendors
  • Hold weekly meetings with key vendors on progression of renewals and discuss any queries or escalations

 

CANDIDATE REQUIREMENTS

  • Excellent administrative skills with the ability to work to a high level of accuracy
  • Good Microsoft Office skills, in particular MS Excel
  • Excellent written and verbal communication skills
  • Ability to read and understand contracts
  • Excellent customer service skills
