JOB OVERVIEW

We have a fantastic new job opportunity for an Office Administrator / Administration Assistant who has previous administrative experience, excellent communication skills and is able to build good professional relationships.

As the Office Administrator / Administration Assistant, you will report to the Education Data and Administration Manager, supporting the expanding administrative function of the Education Team who are increasing training and development opportunities for staff and volunteers across the Charity.

Working as the Office Administrator / Administration Assistant you will have previous administrative experience and will be the first point of contact within the Education Team.

 

DUTIES

Your duties as the Office Administrator / Administration Assistant:

  • Assist with day to day administration including answering the telephone and dealing with enquiries, filing of documents, dealing with internal and external post, scanning, photocopying, printing, emailing, basic use of Microsoft Word and Excel, organising refreshments etc.
  • Maintain and update the booking lists, sending out e-mail invites and reminders for training, receiving responses
  • Create signing in sheets for training sessions/courses and prepare copies of training evaluation forms
  • Rebook non attendances on next available training session and report to line managers
  • Assist with the tracking of e-learning learners, following up those who are out of date, copying in and liaising with line managers when appropriate
  • Assist with the administration of external training and training delegates including preparation of flyers, sending out invitations and joining instructions
  • Booking and setting up rooms and organising handouts, liaising with facilities team to ensure that any equipment such as flip charts, projectors, whiteboards are useable and available
  • Advertising courses, printing and collating materials required for training sessions
  • Take minutes of education team meetings and other relevant project meetings
  • Assist with the creation and publishing of the annual training programmes
  • Assist with the requests for internal and external training including sending out joining instructions and supporting application for grants
  • Help with the processing of grants, bursaries and other funding
  • Processing of invoices to be paid from the training budgets

 

CANDIDATE REQUIREMENTS

  • Previous experience of working in an administrative role, providing support to individuals and groups of people
  • Confident IT user, use Microsoft packages e.g. Word, Excel, Outlook. Training will be given on other in-house systems
  • Ability to organise time effectively, prioritising workload and meeting deadlines with excellent attention to detail
  • Willingness and ability to demonstrate commitment to the Charity’s Values
  • Experience of taking responsibility for own actions, knowing limitations and referring queries on to other members of staff when appropriate
  • Ability to remain calm and focussed during busy times
  • Experience of communicating effectively, electronically, verbally and in writing
  • Ability to develop effective and supportive relationships with colleagues
  • Ability to put the needs of customers first and look after their interests
